How Many Staff Do You Need for Your Business to Attend a Trade Show Effectively?

The amount of trade show staff you need will largely depend on the event you are hosting and the general outcome you want from it. Regardless of how big your booth is, the number of attendees and the hours you are spending at the show will come into it as well. As a general rule, you should always have a minimum of two staff members.

If you can follow this rule, then you can feel confident knowing that you are going to have one staff member engaging with the customers so that the other one can help the prospects. One staff member may also need a break from time to time, and if this happens or if you have slow stretches, then one person can walk the show and introduce themselves to some of the other vendors.

Considerations for your Trade Show

Considerations for your Trade Show

One of the considerations that you need to think about when hosting a business event is that for every 10 x 10 booth you have, you need to have at least one extra staff member. If you can manage to have two 10 x 10, then this is even better. However, make sure that you keep that in mind. If you are struggling for staff, then one thing you can do is make sure that you hire an event staffing company. There are numerous staffing agencies London based companies for you to choose from. Event people are just one of them. They have a team of young workers who can effectively meet the needs of your event. They have brand ambassadors, hospitality staff, and more. They have also worked with major brands from Nike to Adidas and more.

Size of Show

A good rule of thumb is that around 20% of the people who attend the event will probably come to your booth. Much of this depends on your general location and the overall traffic. That being said, you do still need to account for more. One way for you to find out how many people might be attending your event is for you to access the numbers for the previous year and then divide this by the total hours to get your visitors per hour.

Take this number, and then guess how long someone might be spending at your booth. Think about whether or not you are giving a presentation or a video. If you are, then you can at least account for this in terms of how long people are going to be at your booth. A lot of people will be spending at least a minute or two at your booth if you are hosting a raffle.

Booth Location

Booth Location

Next up, you need to think about where your booth is in general relation to the flow of traffic. Traditionally, the entrance is a good place because people are coming in and they are excited. They aren’t burned out, and they are usually happy to spend a bit of time scouting out the place. Near the exits can be a good spot too, but the issue with this is that people may be ready to leave, so you might find it much more difficult to engage them overall. Second of all, exposure. How many sides of your booth are open to foot traffic? If you can make your booth have a lot of open sides, then this will make it much easier for you to attract more traffic.

Your Formula

The above formula might not be perfect, but it is a good way for you to consider your show’s attendance and the size of your booth. You can also use it to figure out everything you need to know,  and it is a great way for you to make sure that you are never underestimating your event, which is a crucial mistake.  If you need some help with your event, then you need to make sure you hire the right support network. Event services are great here, so don’t overlook them, especially if you only have a small team of staff who you work with, as their support can be invaluable when you are navigating events for the first time.
